Address Book Program The address book program is designed to allow a user to store the names, addresses and phone numbers of any individual. It contains a full-screen editor for the updating of any entries in the Master File, as well as various means of printing the data for hardcopy storage. The file structure is designed such that integration of other software is a snap. Each entry in the Master File contains a "Structure ID". The is a unique number dedicated to each entry and is never used again, even if an entry is deleted. If a software package was designed to keep track of family member names, for instance, all that would be required is to simply store the structure ID along with the list of family member names in the new file. These names could then be indexed back to the Address, etc. using the structure ID. * Printout Options: Browse Master File - produces a list of the Last Name, First Name, City, State & Phone of all entries, in alphabetical order Print Master List - produces a 4-1/2 x 5-1/2 inch booklet of selected entries in the master file. Selection is made by entering any letter (up to 3 at a time) of the alphabet. NOTE: Typing 'ALL' will print the entire alphabet !!!! * Wallet Sized Booklet - produces a credit card sized fold-up sheet that fits in your wallet. Selection is made on an individual basis, up to 9 names per booklet. Phone Number List - produces a 3-1/2 x 5 inch listing of FIRST NAME ONLY and phone number. Selection is made on an individual basis, up to 18 names per list. 1 1 Add / Delete / Edit Master File Entries 1 1 This option allows you to make changes to any entry in 1 the Master File, whether it"s to Add new names, addresses 1 and Phone numbers, to Edit existing entries or to Delete 1 an entry you no longer need. 1 1* 1 1 Add: When adding new entries to the file, simply type 1 in the data on the appropriate line. You may use 1 either capital or small letters. When you have 1 finished with one field, press to tab over 1 to the next field. Once you enter the last field 1 of data, press to store your data. 1 1* 1 1 Delete: In order to delete an entry, you must enter the 1 first three letters of the individuals last name. 1 The program will then search through the master 1 file in order to find a match. The first match 1 encountered will be displayed, and you will be 1 asked if this is the correct entry to delete. An 1 answer of 'Y' (yes) will delete the entry, 'N' (no) 1 will cause the next entry that matches to be 1 displayed, or 'Q' (quit) will stop the searching 1 and bring you back to the menu. 1 1* 1 1 Edit: Edit works the same way as delete, in that you 1 enter the last three letters of the individuals 1 last name to be matched. Once you have answered 1 yes to the prompt Edit ? , the cursor will be 1 placed on the Last Name field. If you do not want 1 to alter the last name, the simply press to 1 tab to the next field. If you do choose to alter 1 any field, you MUST RE-TYPE THE ENTIRE FIELD !!! 2 2 Name Selection For Printouts 2 2 In order to indicate which of the names and addresses you 2 would like included on your printout, place an 'S' on the line 2 to the left of the last name shown on the screen. If you wish to 2 skip the listed individual, simply press , and the cursor 2 will tab to the next name listed. Once you have tabbed to the 2 next name, you cannot move back. If you want to abort the task, 2 enter a 'Q', for quit. 2 2* 2 2 On the lower right hand corner of the screen, a record of 2 the total number of names you have seletced is shown. To the 2 right of this number, seperated by a slash (/), you will see 2 the maximum number of names you can select for this printout. 2 Once you have selected the maximum number, you will be prompted 2 to continue with the printout, or abort the task.
